How The Quarter Actually Runs

We close your quarter in the first week of the filing month, not the last. That leaves room for a missing fuel receipt or a driver who has not turned in trip sheets, instead of finding the gap on the deadline with nothing you can do about it.

Your mileage and fuel data comes to us in whatever form you already keep it. ELD exports, GPS reports, fuel card statements or paper trip sheets all work. We do the reconciliation, flag anything that does not add up, and come back to you with questions rather than guessing.

If the numbers show a pattern worth knowing about, such as fuel consistently bought in the wrong jurisdictions for your lanes, we tell you. That is usually worth more than the filing itself.

IFTA Reporting Services FAQ

How often are IFTA returns due?

IFTA returns are filed quarterly. The deadlines fall at the end of the month following each quarter: April 30, July 31, October 31, and January 31. KCI tracks these dates and files on your behalf.

What do you need from us to file IFTA?

We need your total miles by jurisdiction and your fuel purchase records for the quarter. We can pull this from your fleet or fuel-card systems and your plant records, and we handle the data entry and calculations.

Do you handle IFTA license renewals and decals?

Yes. We manage your annual IFTA license renewal and coordinate ordering and distributing your decals so every qualified vehicle is properly credentialed.

What about states with their own mileage taxes?

We also handle state-specific programs such as New York HUT, Connecticut Highway Use, Oregon weight-mile tax, Kentucky KYU, and New Mexico WDT, so your fuel and mileage compliance is covered everywhere you run.
